In the daily routine, lawyers and law firms spend hours replicating client information in spreadsheets or filling out extensive forms in traditional legal systems.

These ERPs, in most cases, are not designed from the perspective of design and the real experience of the lawyer, which makes the work slower, more confusing, and more exhausting.

During the research, we found that lawyers had low satisfaction (2/5) with legal platforms and took 5 to 10 minutes to fill out task, case, or client forms.

The workflow was marked by rework and redundant forms, with information copied between systems without intelligence or fluidity.

User feedback:

“The deadline and schedule management is excellent, but feeding the system takes too long.”

How to reduce friction in such a complex system?

The main challenge was to visually reduce the density of the forms and the interface as a whole.

Existing legal systems were extremely overloaded with text and data-filled fields that, although necessary, made the experience tiring and not very fluid for lawyers.

My first step was to understand how to simplify without compromising functionality.

To achieve this, I explored visual patterns inspired by tools like Linear and Notion, known for presenting large amounts of information in a light, organized, and pleasant way.

The idea was to bring that same clarity to the legal context, making the completion of tasks and everyday forms much faster and more natural.

During our research, we discovered that most lawyers use WhatsApp as their main communication channel with clients.

From this insight, together with the engineering team, we designed an AI-powered solution that transforms WhatsApp conversations into tasks, documents, cases, or client records within the system.

This feature eliminated several manual steps and connected lawyers’ real routines to Babel’s digital workflow.

Increasing lawyers’ productivity

After the usability tests, we adjusted flows, removed redundancies, and simplified forms that previously required multiple steps. The result was a more straightforward system, with fewer distractions and greater clarity in every action.

As a result, lawyers began completing everyday tasks much faster and with less cognitive effort, making their daily work smoother and more predictable.

The average time spent on repetitive tasks was reduced by more than 40% after implementing the improvements.

Process automation and the use of AI to transform conversations into tasks eliminated manual steps, allowing lawyers to focus on what truly matters: analyzing, deciding, and serving their clients more efficiently.

Spending hours using the system as if I were a lawyer made me truly understand what it’s like to live that daily routine, the repetitions, the habits, and even the small annoyances that no one notices.

It was in this “dogfooding” process that I realized how much visual ergonomics, clarity, and predictability are fundamental in an ERP. The simpler and more direct the system is, the more naturally it fits into the user’s routine.

This immersion made me see that great products aren’t born only from research, but from truly experiencing what the user lives every day.
